IR56B template: free download and completion guide
3 November 2026 · 5 min read
A free IR56B preparation spreadsheet, with guidance on each field before you file the employer's return through the IRD's official channels.
The IR56B reports each employee's remuneration for the year of assessment, from 1 April to 31 March. It is filed with the BIR56A cover return, which is normally issued on the first working day of April and due within one month of issue unless extended.
About this template
The spreadsheet below is a preparation workbook. It collects the figures for each employee in one place so you can check them before entering them in the IRD's e-filing service or software. It is not an IRD form. The official form, e-filing system and IRD data file specification still apply.
Fields to prepare
For each employee, prepare the following: full name, HKID or passport number, position, employment period in the year, salary, leave pay, director's fees, commission, bonus, back pay or gratuities, allowances, share option gains, any other rewards, place of residence provided, and any overseas payments.
Common mistakes
The most common mistakes are reporting bonuses in the wrong year, leaving out housing benefits, and listing employees who left during the year without matching IR56F or IR56G filings. Reconcile the total remuneration against your payroll ledger before filing.
